The Orders are a special type of documents, through which the actual management, monitoring and control of a specific Documentary Record is performed.

BINETIX PTM supports different types of Orders, which have specific which have a specific purpose and content in the business processes described in this document.

A Documentary Record may have one or more orders, but an order may only be associated with a single Documentary Record.

The orders are identified in the following common format in BINETIX PTM:

•<reference:N> The uniquely generated reference number for the relevant documentary operation. The sequence of symbols N can be alpha-numeric and contains series of references specific to the organization you are working for;

•<hyphen> Dash (-);

•<sequence:4> Number of an Order in 4 calibers, which consists of only digits with leading zeros until the remaining intended digits are filled.

BINETIX PTM System generates a unique sequence of numbers to each reference number. The numbering starts at 1 and increases according to the rules described above.

The Orders in BINETIX PTM pass through different work statuses depending on their purpose and adaptation. In business processes, Orders can trigger accounting operations, send notifications, invoke external interfaces, or simply mark the current state. There are also key working statuses that affect the lifecycle of the Documentary Record and change it.

The Documentary Record has a leading role. According to the status of the Record, it is determined which orders can be initiated. The System has redefined the following logic for managing Bank Documentary Records:

➢Record in status "Draft" does not allow the creation of new orders.

➢Record in status "New" allows the creation of "Order for Issuing" or "Order for advising" depending on the type of the documentary operation.

▪Once an order has been created, the status of the dossier turns into "Registered";

▪After the order refusal, the status of the Record passes to "Refused";

▪Upon completion of an order, the status of the Record  passes to "Accepted".

➢Record  in an "Accepted" status allows the creation of all types of operational orders.

▪After creating "Order for closing", the status of the Record passes to "For closure";

▪After the "Order for closing" refusal, the status of the Record goes back to "Accepted";

▪After completing the "Order for closure" the Record status switches to "Closed".

The operational statuses of the individual orders may vary by name and purpose according to the specific adaptation and customer requirements, but there are several basic statuses that correspond to the established business processes for servicing of Bank Guarantees, Bank Letters of Credit and Bank Collections:

➢Status "New" - shows the initial state of creating a new type of order for a Documentary Record;

➢Status "For processing" - marks that administrative work is done on the order processing. This activity may include the participation of credit control and credit administration divisions, corporate risk assessment, and etc. The System allows the introduction of auxiliary  statuses with which to organize and control the work between such divisions;

➢Status "For Accounting" - reflects a moment where it is considered that the order has undergone the necessary administrative handling and can be accounted. In this status, an outgoing SWIFT communication is allowed (incoming SWIFT communication is always done automatically on the reference number of a Record).

➢Status "Accounted" - the status shows that all accounting and off-balance accounting  transaction operations have been successfully completed. After this status, it is necessary to implicitly place the order in the "Closed" status. This separation of the two working status is especially necessary when performing a second control  - one employee performs and accounting and another employee verifies and finalizes it;

➢Status "Not accounted" - indicates that one or more accounting operations are not executed. The System allows the orders to be re-marked "For Accounting", "Completed" or "Refused";

➢Status "Completed" - reflects the moment of successful completion of work on an order;

➢Status "Canceled" - reflects the time of completion of work on an order when its outcome is a refusal.
